Standardised Care Specification

Office Cleaning Scope of Work: Sydney Template + Checklist

A clear, actionable specification of what is cleaned every visit, what rotates across the month, and what is scheduled as a specialist service. Use this template for your office RFP, cleaning contract, or lease handover.

What is an office cleaning scope of work?

An office cleaning scope of work (SOW) is an agreed written specification detailing what tasks are performed on every scheduled visit (waste removal, sanitising, vacuuming, mopping), what deep details rotate across weeks (skirtings, partition glass, high dusting), and what services are excluded or quoted separately (carpet steam extraction, high exterior glass). It sets clear service standards, prevents quality fade, and serves as the benchmark for cleaning service agreements.

The Foundation Rule: Rotation work never replaces the core tasks that keep the office ready.

Scope of Work Architecture

What should an office cleaning scope of work include?

Rather than relying on a vague checklist that cleaners gradually rush through, a comprehensive commercial office cleaning scope of work organizes every task into three distinct layers:

Layer 01

Every Scheduled Visit: Keep the office ready

The non-negotiable core tasks completed on every scheduled clean so your workplace is presentable every morning.

  • Bins and visible waste removed; liners replaced
  • Accessible floors vacuumed and mopped in agreed areas
  • Reception desk, meeting rooms and shared touchpoints wiped
  • Agreed kitchen surfaces, sinks and microwave exteriors
  • Agreed private washrooms inside your office sanitised
  • Refilling client-supplied toilet paper, hand soap and towels
  • Service completion logged and Care Note sent if needed
Layer 02

Monthly Detail Rotation: Planned deep care

Slower-building tasks that do not need attention on every visit, but ensure the whole office stays sharp.

  • Reachable skirtings, window sills, low ledges and corners
  • Internal partition glass marks and meeting door smudges
  • Clear unoccupied workstation surfaces and shared tables
  • Cabinet front faces and appliance exterior panels
  • Door frames, light switches and reachable wall scuffs
  • Meeting chair bases and under-desk perimeter clearance
Layer 03

Specialist & Add-Ons: Separately scheduled

Periodic, intensive maintenance tasks that require special machinery, chemicals or dedicated booking windows.

  • Carpet hot-water steam extraction
  • Internal refrigerator deep cleans & shelf sanitising
  • Dishwasher scale removal and filter wash
  • High-level dusting above 2.4 metres
  • External window cleaning with access gear
  • Post-event, pre-audit or annual tenancy resets

Commercial Rule

Cleaning products vs workplace consumables

To eliminate billing ambiguity, here is the exact rule for products, equipment, and restock items:

Cleaning products & equipment (Included)

100% included in your fixed monthly plan:

  • Commercial grade neutral cleaners, floor sanitisers and degreasers
  • Fresh colour-coded microfiber cloths and mop heads on every visit
  • Commercial HEPA-filtered vacuum cleaners and equipment
  • Restocking labour for client-supplied washroom and kitchen items

Workplace consumables (Client-supplied or Managed)

The physical paper and soap products themselves:

  • Client-Supplied (Standard): You purchase toilet paper, hand soap, paper towels and coffee supplies; we monitor and refill them during scheduled visits.
  • Managed Consumables (Optional Add-on): We monitor, order, deliver and replenish agreed washroom and kitchen products with proactive Care Note alerts.

What is usually not included (Clear Boundaries)

Setting clear boundaries prevents misunderstandings and protects our No-Chase Guarantee. The following tasks are excluded from standard recurring office cleaning unless explicitly agreed in writing:

✕
Washing personal staff dishes: Hand-washing individual coffee mugs or lunch containers left in the sink.
✕
Personal desk drawers & papers: Opening private desk drawers, filing cabinets or moving confidential documents.
✕
Hazardous & medical waste: Disposal of sharps, bio-hazards, chemical waste or construction demolition debris.
✕
Specialist IT internals: Cleaning inside open server racks, PC chassis internals or delicate electronic circuit boards.
✕
External high-rise glass: Window panes requiring abseiling, scissor lifts or external building cradles.
✕
Maintenance & trade repairs: Plumbing, electrical repairs, painting, carpet repairs or handyman tasks.

Scope FAQs

Frequently asked office cleaning scope questions

What is the difference between every visit cleaning and rotation cleaning?

Every visit cleaning covers high-traffic presentation areas: emptying bins, vacuuming main floors, wiping kitchen benches, sanitising private washrooms, and restocking soap/paper. Rotation cleaning systematically handles slower-building detail tasks (skirtings, internal glass marks, cabinet fronts) across the month so the whole office stays fresh without overcharging for daily deep scrubbing.

Do office cleaners wash staff coffee mugs and empty the dishwasher?

Loading, running, or emptying a staff dishwasher can be added to your agreed scope. However, hand-washing individual personal mugs and cutlery left in sinks is generally excluded to ensure cleaner time is focused on high-value sanitisation.

Are toilet paper, hand soap and paper towels included in the monthly price?

Cleaning chemicals, vacuums, mops, and microfiber cloths are 100% included in every plan. Restocking client-supplied toilet paper, hand soap, and paper towels is included on every visit. The physical paper and soap supplies are client-supplied unless you choose our optional managed consumables add-on.

Do you clean internal meeting room partition glass?

Yes. Spot-cleaning internal partition glass, meeting room glass doors, and entrance smudges is part of our standard monthly detail rotation.

How do we request a carpet steam extraction or annual deep clean?

You can request specialist add-ons at any time via your direct WhatsApp or SMS thread. We provide a fixed, transparent quote and schedule the service during an agreed after-hours window.

How does the No-Chase Guarantee apply to this scope?

Because our scope clearly defines what is cleaned on every visit versus rotation, there is zero ambiguity. If an agreed task that was due is missed, message our direct thread. We correct it within one business day. If we miss that correction deadline, your next scheduled clean is free.
